Hosting a no-cost or low-cost professional development week requires detailed management of a program budget. When the 2019 Summer of CS was prototyped during the , funding was allocated to pay for the cost of hosting a “CSPDWeek”. These costs could be categorizes as provider costs, participants costs, and operational costs. A program-level budget was developed with guidance from Code.org and the Exploring Computer Science team. Specifically, a budget of $1,500 per participant was allocated to cover provider, participant, and operational costs.
Contractual costs to work with providers like NCWIT and Bootstrap were paid for using grant funding. The individual contracts were negotiated in service of maximizing support from the professional learning providers.
In 2023, participant costs for the Summer of CS were limited to the costs associated with the financial incentive, catering, as well as materials and supplies. For materials and supplies, a budget of $100 per participant was allocated. For catering, an approximate budget of $28 per participant per day was allocated.
In 2019, using flexible funds coming from sponsorship, participants received “swag”, which included t-shirts and water bottles. A budget of $50 per participant was allocated for swag. In 2023,
Since 2019, we have learned that it is necessary, and a nice gesture, to provide participants with a daily stipend for participation. Based on findings from the 2023 Summer of CS, the estimate of $1500 per participant is low. The Educator Workforce Investment Grant Leadership Team, in partnership with the Regional Lead Agencies, are revising budget estimates. In service of sustainability, these leaders are also exploring cost recovery models that can be utilized after the 2023 EWIG:CS grant ends in February 2025.
